The practical answer

First verify the booked time, time zone, join link, and your own availability. Then send a factual message that explains what happened and applies only the no-show or rescheduling policy the client saw before paying.

Check your side before contacting the client

Confirm that the appointment was actually booked, the time zone was clear, the meeting link worked, and someone from your side was present. If the failure was yours or the provider's, do not describe it as a client no-show. Offer a correction consistent with your policy and obligations.

A message when the client did not attend

Subject: Following up on our [date] consultation

Hi [name], we had your [service] consultation scheduled for [date and time with time zone]. I was available through [meeting method] until [time], but we did not connect. I wanted to check whether you had trouble joining or whether something changed. Under the [policy name or link] shown when you booked, [accurate rescheduling or fee outcome]. If you would like to [permitted next step], please [clear action]. If you did join or received different booking details, reply here so I can review what happened.

Apply the policy, not a new punishment

The fee outcome depends on the policy and applicable rules. Do not invent a forfeiture, charge, or deadline after the fact. If a client had a genuine emergency, use the discretion your policy allows without turning the email into an argument. Record any rescheduled appointment and the payment treatment clearly.

Fix repeat causes in the booking path

If no-shows repeat, review the page before booking: does it show the fee, time zone, meeting method, preparation, and rescheduling rule? CroozCal supports individual paid bookings, but a well-configured booking page and a clear policy matter more than an automated reminder alone.

Frequently Asked Questions

That depends on the policy presented before payment and applicable rules. This template does not create a right to keep a fee that was not disclosed.

Investigate and acknowledge it. If the client was prevented from joining by your setup, do not treat the event as their no-show.

Offer the next action permitted by the agreed policy, with any fee or credit treatment stated plainly.
