Paid Consultation Confirmation Email and Preparation Checklist
A confirmation message that distinguishes a successful payment from a confirmed appointment and gives clients the right preparation steps.

The practical answer
Only send a confirmed-appointment message after both the payment and the booking are confirmed. Include the date and time zone, meeting details, the scope of the consultation, a short preparation list, and your real rescheduling policy.
A message for a confirmed appointment
Subject: Your [service] consultation is confirmed for [date]
Hi [name], your [duration] consultation about [agreed topic] is confirmed for [date and time, including time zone]. We have received your payment of [amount] and reserved the appointment. Join using [meeting link or location]. Before we meet, please share [one or two essential items] through [approved method] by [date]. During the session we will [actual deliverable]. [Clear boundary on what is not included]. If you need to change the time, use [rescheduling method] within the policy you accepted when booking. You can reply to [contact] with a practical question about preparation.
Do not confuse payment with a booked slot
If the payment succeeded but the calendar reservation is uncertain, send a different message: confirm that payment was received, explain that the appointment is not yet confirmed, and tell the client when and how you will resolve it. Never invent a calendar confirmation to make the experience feel smooth.
Ask only for what changes the conversation
Keep preparation light. An adviser may need the question the client wants answered and one relevant document. An agency consultant may need the current site and the decision maker. If the work requires sensitive files, use an approved sharing route and explain why they are needed. A consultation should not begin with an unexpected full onboarding form.
How this connects in CroozLink
CroozCal supports payment-connected individual appointments within CroozLink. A supported CroozFlow can guide questions, requested file links, review, and next actions around the meeting. The exact steps and outgoing message must match the service and the professional's actual policy; do not assume every email in this template is sent automatically.
