US Immigration Law Firm Intake Workflow

A practical front-desk workflow for US immigration law firms to capture, route, review, book, and prepare consultations without losing ownership.

The fastest way to fill an immigration attorney's calendar is to let every inquiry book.

It is also a fast way to fill the calendar with wrong practice areas, jurisdiction mismatches, existing-client questions, people expecting free analysis, and matters the firm cannot responsibly accept.

The front desk needs a route, not only a scheduler.

Every new inquiry should occupy one visible state:

If a lead exists only in a shared inbox, it does not truly have a state.

The First Form Should Not Practice Law

Collect enough to identify:

  • Contact details
  • Current location
  • Matter category in the person's own words
  • Relevant government or court context, if the firm uses it for routing
  • Known urgent date
  • Prior contact with the firm
  • Preferred language
  • How the person found the firm

The responsible attorney should approve the questions, routing rules, disclaimers, privacy handling, conflict process, and the boundary between administrative intake and legal analysis. US professional obligations vary by jurisdiction and firm structure.

Protect Attorney Review Time

Do not send every unclear form to an attorney with no summary.

The reviewer should be able to confirm or change the route without reconstructing the inbox thread.

The Calendar Gate

Only reveal the appropriate appointment after the firm has the information and approvals its process requires.

Before booking, the person should see:

  • Attorney or professional conducting the meeting
  • Free screening or paid consultation
  • Meeting scope and duration
  • Exact fee and payment timing
  • What preparation is required
  • Cancellation and rescheduling terms
  • Whether document review is included

Do Not End at the Meeting

After the consultation, return the inquiry to a defined state:

  • Offered engagement
  • More information required
  • Referred or declined
  • Follow-up consultation required
  • No current action

"Attorney spoke with them" is not a status.
