Australian Migration Agent Consultation Booking Workflow
A practical RMA consultation journey covering service scope, fee communication, payment state, booking confirmation, and the formal client handoff.
Money changes meaning as a person moves from website visitor to consultation client and, possibly, to a broader migration service.
If the online journey treats every payment as the same event, confusion follows.
Australia's Office of the Migration Agents Registration Authority states in its Code of Conduct guidance that the Code governs how registered migration agents communicate fees and charges, keep records, handle client money, work with clients, and respond to complaints. Use the current Code and professional advice for the firm's actual obligations.
Here are four moments the booking journey must keep distinct.
Moment 1: Seeing a Price
The visitor should understand:
- Who provides the consultation
- The agent's professional status where required
- Duration and meeting method
- Fee, currency, and applicable tax treatment
- What is included
- What is excluded
- Whether the fee relates only to the consultation
A price beside a "Book now" button is not enough if the service remains ambiguous.
Moment 2: Agreeing to Pay
Before checkout, show the cancellation, rescheduling, refund, and no-show terms through the firm's approved wording.
If another document or acknowledgment is required, make its role clear. Do not turn one checkbox into consent for every possible future service.
The person should know exactly what payment will unlock.
Moment 3: Payment Succeeds
Payment success is a state, not the end of the journey.
The page should immediately answer:
- Is the appointment already confirmed?
- Must the client choose a time now?
- Where is the receipt?
- What happens if no suitable time is available?
- Who can resolve a payment-booking mismatch?
Never leave a paid person on a generic thank-you page.
Moment 4: Further Service Is Offered
After the consultation, a broader service may require a new formal agreement, fee explanation, records, and client-money treatment under the firm's approved process.
Do not present "continue" as if the consultation payment automatically created the larger engagement.
Use a visible bridge:
Consultation completed

Defined next service offered
↓
Formal terms and fees reviewed
↓
Required agreement and payment process
↓
Client work begins
