Calculate the real monthly cost of missed immigration consultations using reserved time, preparation, admin work, and lost booking capacity.
One missed consultation does not only cost the consultation fee.
It can consume preparation time, staff coordination, a calendar slot another person could have used, and the follow-up needed to recover the appointment.

If different people have different hourly costs, calculate their time separately for a more accurate result.
Formula 1: Time Cost
Minutes lost per no-show = B + C + D
Monthly hours lost = A x (B + C + D) / 60
Monthly time cost = Monthly hours lost x E
Worked example
Assume a firm has:
- 6 no-shows per month
- 45 reserved professional minutes
- 15 preparation minutes
- 10 admin recovery minutes
- $100 internal hourly cost
6 x (45 + 15 + 10) / 60 = 7 hours
7 x $100 = $700 monthly time cost
That example is arithmetic, not a claim about a typical firm.
Formula 2: Unrecovered Booking Value
If the slot could realistically have been sold to another qualified client, calculate:
Potential booking value = missed consultations x consultation fee
Do not automatically add the full amount to the time cost. That can double-count the same loss. Use it as a separate capacity measure:
- Time cost: What the missed meeting consumed
- Potential booking value: What the blocked slot might have earned
Formula 3: Recovery Burden
Track how many no-shows eventually rebook and how much staff work that takes.
Recovery rate = rebooked no-shows / total no-shows x 100
A low recovery rate suggests the firm is chasing people who were never committed. A high recovery rate with heavy admin time suggests the rescheduling path is too manual.

Do not celebrate fewer bookings if the only reason is that the form became painful.
Track all four:
- Qualified inquiries
- Completed bookings
- Attended consultations
- Clients who completed the correct post-consultation action
