Follow one inquiry named Maya.

She finds the firm after work, describes her objective, pays on her phone, books across timezones, and prepares two days later. At every point, Maya has one question: "What do I do now?"

The workflow below is judged from her side, not from the dashboard.

Maya's Seven-Step Journey

1. Describe the consultation

State whether it is a short fit call or a detailed professional consultation. Show duration, fee, method, scope, and next possible outcome before asking for personal information.

2. Collect basic routing information

Ask for service interest, relevant country, current location, urgency, language, contact details, and a short objective.

Do not collect sensitive case files through a casual public form.

3. Route or approve

Send the inquiry to the right path:

  • Immediate booking
  • Manual review
  • Paid consultation
  • Short discovery call
  • Existing-client support
  • Respectful decline

4. Present terms and payment

If the meeting is paid, explain the exact amount, currency, scope, cancellation policy, and what happens after payment.

5. Choose a time

Show accurate timezone information, meeting method, duration, and availability. If a slot is held before payment, explain when the hold expires.

6. Confirm one source of truth

The confirmation should contain the appointment, payment status, meeting link, preparation steps, and rescheduling action.

Do not force the client to combine one calendar email, one payment receipt, one PDF, and three WhatsApp messages.

7. Prepare and recover

Send useful preparation, not reminder noise. Also design paths for:

  • Payment completed but no time selected
  • Time selected but payment failed
  • Intake incomplete
  • Client needs to reschedule
  • Firm needs to change the appointment
  • Client does not attend

Score one point for each yes:

  • The service is clear before the form.
  • The first form takes only a few minutes.
  • Different inquiry types reach different next steps.
  • Payment and booking status cannot conflict silently.
  • The timezone is obvious.
  • Preparation lives in one reliable place.
  • Every failure state has a recovery action.

0-2: The process depends on staff rescue.

3-5: The core works, but avoidable confusion remains.

6-7: The client can move with minimal hand-holding.

One Journey or Five Receipts?

CroozLink can provide the client-facing sequence while specialist systems continue doing their specialist jobs. It does not replace case management, legal judgment, or secure records.

If a firm only needs scheduling, use a scheduler. If staff repeatedly reconnect intake, payment, calendar, preparation, and next steps manually, a guided journey can remove that operational gap.

The goal is not maximum automation. The goal is that every serious person knows what has happened, what is pending, and what to do next.
