Immigration Client Intake Software: What to Check Before You Buy
A no-nonsense buying guide for immigration client intake software covering security, routing, payments, scheduling, handoffs, and failure recovery.
Most software demos show the clean path.
A perfect lead completes every field, pays successfully, chooses the correct appointment, attends on time, signs immediately, and uploads exactly what was requested.
Do not buy immigration intake software after watching that person.
Ask the vendor to show you the person who closes the tab after payment.
Begin With the System Boundary
Write down which problem you are buying for:
| Need | Typical product category |
|---|---|
| Public inquiry and routing | Intake form or journey tool |
| Appointment scheduling | Scheduling platform |
| Consultation payment | Payment-enabled booking or processor |
| Conflict checks and matter records | Legal practice system |
| Secure case documents | Approved portal or document system |
| Immigration forms and filing workflow | Specialist immigration platform |
| Client-facing next actions | Journey or onboarding layer |
One product may cover several rows. That does not mean it safely replaces every row.
Run the Failure-State Demo
Ask the vendor to demonstrate these situations live:
- A person submits intake but does not pay.
- Payment succeeds but booking is abandoned.
- The client chooses the wrong service.
- Staff rejects or reroutes an inquiry.
- The appointment is cancelled after payment.
- The client needs to reschedule across timezones.
- A staff member changes the intake questions.
- A former client asks for their information.
If the answer is "your team can handle that manually," record the manual cost. It may still be acceptable, but it is part of the product.
Ask the Security Questions Directly
Do not accept "bank-level security" as an answer.
Ask:
- What data is collected and where is it stored?
- Which staff roles can access it?
- Are audit records available?
- How are files protected?
- What deletion and retention controls exist?
- Which subprocessors receive data?
- Which regions and professional requirements does the vendor support?
- What happens when an account is closed?
The correct answers depend on the firm's jurisdiction and obligations. A marketing page cannot make that decision for you.
Count Client Decisions
Walk through the public path on a phone and count:
- Links opened
- Accounts created
- Repeated fields
- Separate confirmation messages
- Times the client must decide what comes next
The lowest number is not automatically best. A necessary consent or secure login should not be removed for convenience. Remove only decisions created by poor coordination.
Test Ownership After Purchase
Ask who will:
- Build the forms
- Maintain routing rules
- Update services and fees
- Review failed payments
- Reconcile bookings
- Train new staff
- Audit access
- Measure attended and converted consultations
Software without an owner becomes another inbox.
Where CroozLink Is Strong and Where It Is Not
CroozLink is strong when a professional needs a clear public offer and a guided sequence of client actions around intake, payment, booking, content, and next steps.
It is not a full immigration case-management or filing platform. If deep matter records, deadline control, secure case files, or jurisdiction-specific forms are the primary need, evaluate specialist systems first.
Buy CroozLink when the client-facing journey is broken. Do not buy it to pretend the backend responsibilities disappeared.
The Final Buying Test
After the demo, complete this sentence:
We are buying this because it will remove ______ from our current process, and we will measure that by ______.
If the blanks remain vague, do not buy yet.
