Should Immigration Consultants Collect Payment Before Booking?

Decide whether payment should come before or after an immigration consultation booking, with workflows for paid calls, approval-first firms, and urgent inquiries.

Four statuses can exist on the same afternoon:

  • The client says they paid.
  • Stripe shows a successful payment.
  • The calendar shows no appointment.
  • Staff assumes the client changed their mind.

That is not a payment problem. It is a state-design problem. Before choosing whether payment comes before booking, decide how every incomplete state recovers.

Three Payment Sequences

Model 1: Intake, payment, then booking

Use this when the service is standardized and most suitable inquiries can book without manual approval.

Flow: Basic intake → consultation terms → payment → calendar → confirmation

Strength: Unpaid appointments do not occupy the calendar.

Risk: Payment can succeed while booking remains unfinished. Build a recovery path.

Model 2: Intake, approval, payment, then booking

Use this when the firm must review scope, conflicts, urgency, or another internal condition first.

Flow: Basic intake → internal review → approved consultation offer → payment → booking

Strength: The firm does not accept money before confirming it can offer the meeting.

Risk: Slow review creates lead drop-off. State the expected response time.

Model 3: Booking hold, then payment

Use this when the system can hold a selected time briefly while payment is completed.

Flow: Intake → choose time → temporary hold → payment → final confirmation

Strength: The person knows a suitable time exists before paying.

Risk: Abandoned holds can block availability unless they expire cleanly.

Never Leave These States Ambiguous

Every paid booking can enter one of five states:

StateWhat the client should see
Not approvedReview is pending and no payment is due
Approved, unpaidExact fee and payment action
Paid, unbookedContinue to choose a time
Time selected, unpaidComplete payment before the hold expires
Paid and bookedFinal confirmation and preparation

If the interface only says "Thank you," staff will receive avoidable messages.

Payment Page Checklist

Before the person pays, show:

  • Professional or firm providing the consultation
  • Meeting duration and method
  • Currency and total fee
  • What the consultation includes
  • What it does not guarantee
  • Cancellation, refund, and rescheduling terms
  • What happens immediately after payment

Use wording reviewed for the firm's jurisdiction. CroozLink can organize the path, but it cannot decide professional or regulatory obligations for the firm.

The Paid-but-Unbooked Test

Stripe and other processors handle payments. Calendars handle time. Intake tools handle questions. Each can be the right choice.

CroozLink is useful when the firm wants the person to move through the offer, intake, payment, booking, and preparation as one connected journey. The value is not "having Stripe inside another page." The value is making the state and next action understandable.

Collect payment at the point where the firm is ready to reserve professional time. Then design for the failures around that point, not only the happy path.

Frequently Asked Questions

Usually the fee should be collected before the time is finally reserved, but some firms must review fit or conflicts before accepting payment.

The system should preserve the payment state and give the person a clear recovery path to finish booking or contact the firm.

A separate link can work, but it often creates uncertainty about whether payment and appointment confirmation are connected.
