Use this checklist when a prospect becomes a client and responsibility moves from decision to agreement, payment, intake, review, and delivery.

The practical answer

A client handoff is complete when both sides know what was agreed, what has been paid, what information is still required, who acts next, and when the first delivery step begins. A welcome email alone does not establish those facts.

Commercial handoff

Confirm the decision before beginning operational work.

  • Selected service and exclusions are recorded.
  • Agreement status is clear.
  • Deposit or payment state is verified.
  • Cancellation, refund, and change expectations are understood.
  • The professional has explicitly accepted the engagement where review is required.

Information handoff

Collect what delivery needs without asking the client to repeat information already provided.

  • Decision makers and authorised contacts are named.
  • Detailed intake is requested at the correct stage.
  • Required file or account access uses an approved method.
  • Missing or incorrect items can be returned with context.
  • Sensitive information is kept out of casual email or unsuitable tools.

Delivery handoff

The client should see the beginning of delivery, not an empty space after payment.

  • Kickoff opens only when readiness conditions are met.
  • The first milestone and owner are visible.
  • Communication channels and response expectations are defined.
  • The client knows where to return.
  • Internal systems receive the verified facts they need.

Exception handoff

Test what happens when payment is delayed, information is wrong, the client needs to reschedule, or the professional cannot accept the work. A good handoff includes a safe close, not only a successful start.
