Agency email template

Agency Client Welcome Email Template After Signing

A ready-to-adapt welcome email that tells a new agency client what is confirmed, what they need to do, and when work actually begins.

The practical answer

Send the welcome email after the agreement and payment state are clear. Name the agreed service, the agency contact, the one next action, and the conditions for kickoff. Do not imply work has started when the brief, access, or deposit is still outstanding.

Use this email as a starting point

Subject: Welcome to [agency name] | your next steps

Hi [client name], we are looking forward to working with you on [agreed service]. Your main contact is [name and email]. We have [received the signed agreement / confirmed the first payment / sent the payment link]. Before we book kickoff, please complete [one link to the short brief and requested items] by [realistic date]. We will review what you send and let you know if anything needs updating. Once [the agreed prerequisites] are complete, we will confirm [kickoff or first delivery step]. You can reply to this email if your contact person or timeline has changed. Thanks, [name].

Replace the brackets with actual decisions

The template fails when it says "we will start soon" but nobody knows what is missing. State whether the agreement is complete, whether payment has been confirmed, what the client must provide, and what your team will do after review. If kickoff is already booked, replace the condition with the meeting date and preparation needed.

  • Link to the accepted scope rather than repeating an old sales promise.
  • Name one owner for questions and one approver for decisions.
  • Give the client one clear next destination, not five unrelated links.
  • Do not ask for passwords or sensitive material by ordinary email.

When to send a second message

If an item is missing, follow up on that item, not with another generic welcome. For example: "We have the brand guide and project brief. We still need access to the approved analytics account before we can check the baseline. Please grant [named team member] the agreed permission through the platform by [date]." A specific request makes the next action easier to complete.

Where CroozLink fits

Your CroozLink Work-With-Me Link can explain the service before the sale. After agreement, a supported CroozFlow can give the client a guided sequence for questions, requested file links, professional review, payment, and booking. It does not replace your agency email voice or your specialist credential and delivery systems.

Useful next steps

Frequently Asked Questions

You can acknowledge the signed agreement before payment, but clearly say payment is still pending and what it unlocks. Never describe an unpaid project as fully started.

Only if the information and decisions needed for a useful kickoff are already available. Otherwise tell them what must be completed first.

Reuse the structure, not the facts. Service, scope, owner, timing, and prerequisites must match that client.
